OTW 2025 Checkpoint Leader Resources

1. Delivery & Collection of Equipment 設備運送及收集

​RTS will deliver equipment required by the OTW volunteers to all relevant checkpoints at the first shift start time and collect upon closure. A refresher session will be conducted at the start of the first shift at each checkpoint after which RTS will monitor the performance of the OTW volunteers, respond to any questions arising and step in to address any shortcomings noticed. RTS will also set up and test a decoder box as a contingency measure at each checkpoint, leaving it powered down in standby mode.

2. Handheld Scanning 手持式掃描

The primary detection devices at CP2 through CP4 and CP6 through CP9A will be handheld scanners in the form of Android phones with an RFID antenna attached to the Type C port. Each scanner pack will include a redundant set of equipment and power banks for recharging purposes. As RTS manpower will not be present throughout the event at these checkpoints (after the first few teams have passed through). OTW volunteer operators need to be familiar with how to use the scanners. Operators must monitor detection of tags and the sending of tag data and must alert the RTS Timing Centre if any problems are encountered without delay.

Volunteers are forbidden from using scanner mobile devices for any purpose other than scanning. 

Team members should be gathered together before commencing with scanning of teams arriving at interim checkpoints CP2 through CP4 and CP6 through CP9A. The time of the first scanned team member will then be used as the team time, since all team members have already arrived and will be scanned one after the other.

Drop Out Reporting Procedures 退出賽事程序

A WhatsApp group called 'OTW 2025 DNF' (Group Name TBC) will be set up for reporting drop outs. At any given time during the event, this group will comprise RTS timers and the lead volunteer of the current shift at each open checkpoint. When dropouts are reported by the OTW Checkpoint Leader, the bib number should be given along with walker name for cross checking. RTS will then update the status of the walker in the Timing System after first checking the reasonableness of the status update request. The updated status will be reflected immediately throughout the timing system and results. If the person dropping out is injured then this should be reported at the same time.

4. Backup Recording Procedures 備份記錄程序

Manual clipboard backup should also be conducted using forms provided by RTS as a failsafe measure. After completion of each sheet, the Checkpoint Leader should take a photo and send it through to the Timing Centre via the 'OTW 2025 DNF' (Group Name TBC) WhatsApp group.

5. Bib Replacement Procedures 更換號碼布程序

RTS will prepare spare tagged bibs for distribution to checkpoints CP1 through CP9A. Apart from CP1, the Checkpoint Leaders will be responsible for issuing replacement bibs/tags if required and for informing the Timing Centre about issue. Spare bibs will have coded tags stuck on them, but no number printed on the front of the bibs. To replace a lost or damaged bib, the Checkpoint Leader should write the walker no boldly on the front of the replacement bib and advise the Timing Centre about the walker number and tag number via the DNF WhatsApp group. Spare tagged bibs will be delivered to checkpoints with scanner packs.

6. Public Website 公開網站

  • Teams and walkers are searchable by team number and bib number, as well as by walker name.

  • Progress of teams and walkers may be looked up by clicking on the team number or walker name.
    輸入隊伍編號或參賽者姓名可查看隊伍和參賽者的賽事進度。
  • When reviewing progress, donations may be made by clicking on the sponsorship link provided.

  • A real-time leaderboard of the 100 fastest teams will be available.

  • With the exception of the leaderboard, no rankings will be calculated during the event.

  • Leaderboard positions will be subject to change as fast teams from later waves leapfrog earlier teams.

7. Command Centre 指揮中心

A private web site called Command Centre will be activated once the first wave is underway. The link for this web site should be communicated only to authorized OHK personnel. The dual purpose of this web site is checkpoint resource management and walker safety management. It is this web site that will give total numbers of arrivals and numbers of walkers expected, not the public web site.

Command Centre offers two views of the progress of the whole field of walkers throughout the course, both of which are refreshed in close to real time. By time gives an hour by hour traffic flow analysis of walker arrivals at each checkpoint. By checkpoint presents movements from the perspective of checkpoints. Reached refers to the total number of arrivals. Dropped means the number of walkers who have dropped out upon reaching the previous checkpoint. Expected means the total number of walkers who have started and are still walking but have yet to reach a given checkpoint. Awaited mean the number of walkers who have reached the previous checkpoint and on their way to the current one. A list of awaited walker names and bib numbers may be obtained by clicking on this number, together with their time of arrival at the previous checkpoint. Both views consolidate all waves and are available either separately by distance or for both distances together.
