Hong Kong's Leading Race Timing Service Provider

RTS is a company founded in May 2012. RTS has a vision of providing the organizers of mass participation athletic events – such as triathlon, road running, trail-running, open water swimming, cycling and adventure racing – with a range of services including on-line registration and payment, race timing, results publication and archiving, as well as targeted on-line event and product promotion.

RTS is committed to the provision of high quality timing and results publication services that surpass traditional expectations. The catchphrase of RTS is ‘Our Great Results, Your Good Times’. This emphasizes our desire to consistently deliver results that enhance the quality of race experience for participants. We believe that happy participants results in satisfied race organizers.

Accuracy, promptness and friendliness are our watchwords. The need for accurate results is fundamental. This is achieved by putting in place redundant technology and processes to guard against single points of failure.

As part of our standard service offering, we strive for real-time results to the web whenever feasible, as well as individual provisional results instantly upon crossing the finish line and verified award results in readiness for on-site awards presentation.

Our athlete-friendly results portal is searchable and filterable with team results and live tracking if required. Results sharing to Facebook, Twitter and via e-mail are supported. Youtube video clips of finishers is also supported. SMS or e-mail results notification can be provided to finishers with their own times and positions plus a link to the full results, upon finalization. Downloadable e-certificates are also available if required.
Except where otherwise agreed in writing, these policies apply to all events. In case of any ambiguity between the English and Chinese versions, the English version takes precedence.

Timing Services Payment Liability & Settlement Policy

Upon acceptance of a quotation, a deposit invoice will be raised. Resources will be committed upon settlement of the deposit. Race Timing Solutions (RTS) reserves the right to withdraw its quotation until payment is received. This settlement requirement may be waived if Registration Services are also being provided. The deposit amount is 25% of the quotation total.
Liability for the remaining 75% is progressively accepted by the organizer according to the following schedule:
  • Balance to 50% of the updated quotation total upon commencement of race number printing. This step does not apply if RTS does not provide any race number printing services.
  • Balance to 75% of the updated quotation total upon commencement of timing chip preparation.
  • Balance to 100% of the updated quotation total upon race day unless the event has been cancelled at least three (3) hours prior to the scheduled start time. For events of long duration that are cancelled thereafter this liability will be reduced to not include non-operating hours exceeding the minimum.
An invoice for the calculated balance will be raised at each stage of acceptance of liability. It does not need to be settled if there are funds on account from registration income to cover the invoice amount. Otherwise, settlement is expected within ten (10) working days of being issued. RTS reserves the right to impose a surcharge of up to 1% per week for any overdue amounts.

Cancellation & Postponement Policy

Organizers may cancel agreed Timing Services at any time. Liability for any invoices already raised will remain.
A canceled event may be rescheduled to any date no later than six (6) months after the original event date. The original deposit will be forfeited. A new deposit invoice will be raised. RTS will only commit resources to the rescheduled date once the new deposit invoice has been settled or there are sufficient funds on account from registration income to cover the amount. RTS reserves the right to reject a rescheduled event date until resources have been committed.

Registration Income Reimbursement Policy

Month-end registration statements will be prepared for all events yet to take place within ten (10) working days of the last day of each month. The amount due for reimbursement after offsetting any unpaid invoices for the event will then be available for settlement.
Organizers wanting to have faster reimbursements should make their wishes known prior to registration launch. RTS will make its best efforts to accommodate such requests, subject to feasibility, and will advise accordingly.
